Know Your Customer Privacy Collection Notice

This Collection Notice has been developed in accordance with applicable data protection and privacy laws and intends to inform you of what Personal Data we will collect from you as part of our due diligence processes.

The Perth Mint is required to comply with regulatory obligations under Australian federal law, such as the Anti-Money Laundering and Counter-Terrorism Financing Act 2006. A key part of our requirements under this act is that we have thorough Know Your Customer processes in place. As a licensed second-hand dealer, the Perth Mint is also required to comply with obligations under the Western Australian Pawnbrokers and Second-hand Dealers Act 1994 which has similar requirements.

To comply with these obligations, we are required to check a customer’s identity by collecting and verifying their Personal Data before providing them with our products and services. We are also required to periodically collect Personal Data to check that the information we hold is accurate and up to date, which may involve us re-verifying a customer’s identity.

The type of Personal Data we may collect includes your:

  • full name
  • date of birth
  • telephone number
  • email address
  • residential address (plus billing and shipping addresses, if applicable)
  • occupation
  • other information that you provide us to establish your identity, such as your driver’s licence, passport or national identity card.

We may also collect the following special categories of data:

  • bank account number (and other financial and transactional information)
  • signature
  • a yes/no response as to whether you have any criminal convictions
  • details of the alleged criminal convictions if a yes response is returned, such as the nature of the crime (i.e. narcotics, trafficking, or environmental) and the sentence
  • details of your political affiliations or political exposure.

What data we collect may vary depending on the type of account you are creating. For example, we may require additional information from sole traders, Australian companies, non-Australian companies, trusts, superannuation funds, partnerships, or associations. We may collect personal information from you in several ways, including, but not limited to:

  • by email
  • over the telephone
  • through written correspondence and forms
  • through our website (including when you create an account or use a webform)
  • in person
  • when you upload the information to a secure ShareFile link.

The Perth Mint may disclose your personal information to third parties including:

  • identity screening providers LSEG and Trulioo for the purpose of verifying your identity
  • service providers, such as delivery carriers, if you place an order for delivery
  • organisations to meet certain contractual, legal, or regulatory obligations.

The Perth Mint has performed comprehensive due diligence on the security and trustworthiness of these third parties prior to engaging with them.

LSEG is based in the United Kingdom and your data is held in Ireland until the earliest of either; 60 days after The Perth Mint terminates its agreement with LSEG, or a privacy deletion request is actioned on your behalf. LSEG may continue to process your data if it is considered ‘Public Domain Data’. Trulioo is based in Canada and your data is held in Australia for a period of 72 hours (post verification). Data is provided to, and received from, both providers by secured API.

If you do not consent to the collection of your Personal Data under this Collection Notice, The Perth Mint may be unable to provide you with its products or services. If you have an active account, we may need to temporarily place it on hold until we are able to verify your details or close it if resolution cannot be reached.
